Payroll splits into two distinct services: Payroll Processing handles paychecks, payroll taxes, and year-end filings (W-2s, 1099s). Whereas Payroll HR Advisory handles the compliance and benefits work that runs alongside it: workers’ comp audits, benefits coordination, employee classification, and HR compliance counsel.

Do I have to use all four services?

No. You can start at the foundation: most clients begin with bookkeeping or payroll, and add layers of the pyramid as your business grows. That said, the value compounds: a tax advisor who already sees your books in real time, and a CFO reading the same numbers, deliver far more than the same services bought from separate vendors.

How is this different from hiring an in-house accountant?

A full-time bookkeeper, controller, or CFO can cost $60K to $200K+ in salary, plus benefits, software, and management overhead. We deliver the same scope as a small finance department (bookkeeping through CFO strategy) for a flat monthly fee, and you get an entire team instead of one person who takes vacation.

Why does Prudent say tax planning shouldn't pull cash out of my business?

Many tax planners lower your bill by having you move cash into life insurance, retirement products, or complex credits: money that leaves your business to do it. We focus on reinvestment instead: structuring spending on real growth (equipment, IT, hiring, capacity) so you earn legitimate write-offs while every dollar keeps working inside the business you’re building.

What if my books are behind?

We catch you up first. Whether you’re a few months behind or a few years, our team handles clean-up as a one-time engagement before transitioning you into a regular monthly cadence. Clean books are the foundation of the pyramid: nothing above them works until they’re right. Most catch-up projects wrap inside 4 to 6 weeks.

What accounting software do you support?

We work primarily in QuickBooks Online and Xero, and we’ll migrate you over if you’re on something else. We also integrate with payroll, point-of-sale, e-commerce, and project management platforms, so your financials reflect the systems your business actually runs on.

Do you handle multi-state payroll and tax filings?

Yes. We file federal, state, and local payroll taxes (941, 940, state withholding, SUTA) and handle multi-state income tax filings for businesses operating in multiple jurisdictions. If you have employees in two or more states, this is one of the most common reasons clients consolidate to us.

How does pricing work?

Fixed monthly pricing based on scope, not hourly billing. After a discovery call, we send a tailored quote covering the layers of the pyramid you need. The number doesn’t move unless your scope does. Most clients find one Prudent invoice costs less than the separate vendors it replaces.

Can you replace my current bookkeeper, payroll provider, and CPA?

Yes, and that’s exactly how most engagements start. We coordinate the transition with your existing providers, retrieve historical data, and handle any handoff paperwork. You’ll usually save money in the first month just from consolidating invoices, and gain a team that finally works from one set of numbers.
