WHO WE SERVE

An accounting team that already speaks your industry.

Since 2007, we’ve built integrated finance teams for six industries: health and human services, restaurants and hospitality, retail and distribution, professional services, real estate, and nonprofits. Same connected model. Same continuous conversation. The foundation set up the way your industry actually runs.

 WHY INDUSTRY EXPERIENCE MATTERS

A generic chart of accounts is a foundation cracked from day one.

Bookkeeping is the foundation everything else is built on. When the foundation is set up generically (the same chart of accounts as every other small business in the system) every layer above it bends to fit. Tax season hurts more than it should, cash flow reads wrong, and strategic decisions get made on numbers that don’t really map to the way your business runs. We set up your foundation the way your industry actually works. Then every layer above it (compliance, controllership, tax planning, fractional CFO) runs cleanly because it is built on the right base.

Industry expertise is not a product line.
It is the way we set up the foundation.

WHAT WE BELIEVE

Six industries we know inside and out.

Each industry has its own way of running and needs a foundation built around how that industry actually moves money, time, and inventory. Below: what each one usually needs, and what we set up.

Prudent-Accountants-CPAs-Small-Business-MN-TX-Industries-Health-Human-Services

Health & Human Services

Accounting for medical and dental practices, chiropractors, and human services providers (home care, assisted living, and behavioral health).

Reimbursements often arrive on a different schedule from payroll and other operating expenses, creating cash-flow pressure even after services have been delivered. We structure the chart of accounts, payroll, and reporting around that timing so you can track incoming payments, prepare for payroll disbursements, and support insurance and program reporting requirements.

WHAT WE SET UP:

  • Chart of accounts for insurance payments and program reimbursements
  • Cash-flow forecasting aligned with reimbursement timing and payroll
  • Payroll structure for clinical, administrative, and direct-care teams
  • Reporting that supports insurance company and program requirements

Nonprofits

Bookkeeping, payroll, and financial reporting for grants, programs, restricted funds, and Form 990.

Nonprofit accounting requires clear separation of restricted and unrestricted funds, consistent tracking by grant and program, functional expense allocation, and records organized for Form 990 and audit preparation. We structure the chart of accounts, run payroll, and prepare board-ready financial statements so leaders can understand how resources are funded, spent, and reported.

WHAT WE SET UP:

  • Restricted and unrestricted fund tracking by grant and program
  • Form 990 preparation, audit support, and functional expense allocation
  • Board-ready financial statements and management reports
  • Software: QuickBooks Online, configured for nonprofit fund and program reporting

Prudent-Accountants-CPAs-Small-Business-MN-TX-Industries-Professional-Services

Professional Services

Accounting for IT consultants and technology companies, law firms, insurance and marketing agencies, consulting firms, architects, and design firms.

Professional services businesses run on contracts, retainers, projects, and specialized labor. IT and technology businesses need clear tracking for recurring service agreements, project billing, subcontractor costs, and WIP, while law firms may also need trust and retainer accounting. We structure the books and reporting so unbilled work, project costs, partner draws, and profitability by client or project remain visible.

WHAT WE SET UP:

  • Tracking for trust accounts, retainers, recurring contracts, and unbilled WIP
  • Partner draws, distributions, and owner-compensation structure
  • Profitability reporting by client, project, service line, or partner
  • Accounting workflows connected to your time, billing, and project platforms

Real Estate

Accounting for property managers, investors, and real estate professionals.

Real estate accounting runs on properties, not just companies. Each property is its own P&L, each entity is its own return, and each transaction has tax implications you do not want to surface in April. We set up the foundation so every property reads on its own, depreciation is captured correctly, and 1031 exchanges, cost segregation, and entity structure are planned for in advance rather than reverse-engineered later.

WHAT WE SET UP:

  • Property-level P&Ls and entity-level rollups
  • Depreciation schedules, cost segregation planning, and 1031 exchange support
  • Multi-entity, multi-state filings, and K-1 preparation
  • Software: QuickBooks Online or Xero, integrated with your property management platform

Restaurants & Hospitality

Accounting built for thin margins, tip credits, and weekly cash flow.

Restaurant accounting is bookkeeping at high speed: weekly cash flow, daily sales, prime cost, tip credits, sales tax filings across jurisdictions, and a labor structure most generic firms do not know how to set up. We close on a weekly cadence, integrate with your POS, and run payroll with tip credits and tipped versus non-tipped staff handled correctly.

WHAT WE SET UP:

  • Weekly close cadence with prime cost and labor reporting
  • Tip credit and tip pooling structure, payroll for tipped and non-tipped staff
  • Sales tax filings (multi-jurisdiction) and Form 8027 tip reporting
  • Software: QuickBooks Online or Xero, integrated with Toast, Square, Clover, or your POS

Retail & Distribution

Accounting for brick-and-mortar, e-commerce, and the hybrids in between.

Retail accounting lives at the intersection of inventory, POS, and sales tax. Inventory has to reconcile to your books. POS has to reconcile to your bank deposits. Sales tax has to reconcile to the states you have nexus in. We set up the foundation so those three reconciliations happen by themselves, and your margins are clear by product, channel, and location.

WHAT WE SET UP:

  • Inventory accounting tied to your POS and to your bank
  • Multi-state sales tax filings and nexus tracking
  • Margin reporting by product, channel, and location
  • Software: QuickBooks Online or Xero, integrated with Shopify, Square, Clover, WooCommerce, Stripe, and your inventory system

HOW WE TAILOR THE FOUNDATION

Same connected model.
Industry-specific setup.

Every Prudent engagement runs on the same connected model: bookkeeping foundation, compliance and controllership pillars, tax planning and fractional CFO on top. What changes between industries is how the foundation is built: the chart of accounts, the KPIs we report on, the software stack, the payroll structure, the tax planning levers. We do that setup before your first close, so you are not paying us to fix a generic chart of accounts six months in.

Industry-tuned
chart of accounts

We build it around how money actually moves in your business, not a generic template. Job costs for a manufacturer. Tip credits for a restaurant. Restricted funds for a nonprofit. Property-level rollups for a real estate firm.

The KPIs that matter
for your industry

Prime cost for restaurants. Property-level NOI for real estate. Job profitability for manufacturing. Restricted-fund ratios and program-cost ratios for nonprofits. We set up the reporting so the right number sits in front of you at the close of every month.

 FAQs

Industry questions worth answering

Contact us

Do you only work with the industries listed?

These are the six industries where we have built the deepest experience and can move fastest from day one. We also work with businesses in construction, manufacturing, agriculture, and other industries when our integrated accounting model is the right fit. The fastest way to find out is through a 30-minute scoping call.

What if my business spans more than one industry?

Many of our clients are multi-line businesses. A restaurant group with a catering arm. A nonprofit with an earned-revenue program. A real estate firm that also manages property for outside investors. The integrated model handles multi-revenue-stream and multi-entity businesses well; we set the chart of accounts up so each line of business reads on its own.

Do I need a specialist for my industry, or will I get a generalist?

Every Prudent client gets a single dedicated accountant who knows your industry, your business, and your numbers. The team behind them includes specialists in the platforms and tax rules specific to your industry, so the work that needs deep industry knowledge gets it.

My CPA already does my industry. What is different here?

Most CPAs file your taxes. Prudent runs your whole finance function: bookkeeping, payroll, controllership, tax strategy, and fractional CFO, all from the same set of books and the same team. The difference is depth (industry-tuned setup) and coordination (one continuous conversation, not a CPA who shows up in April).

How quickly can you set up my industry-specific chart of accounts?

For most industries, we have a setup playbook that runs in two to four weeks. If your books are behind or your existing chart of accounts needs restructuring, we add a one-time catch-up engagement at the start so you are not paying us to clean up forever.

Can you handle multi-state filings?

Yes. We file payroll taxes, sales taxes, and income tax returns in all states. Multi-state operations are one of the most common reasons restaurants with multiple locations, e-commerce retailers, real estate investors, and remote-workforce employers consolidate to us.

Tell us your industry.
We will tell you what your foundation should look like.

Thirty-minute scoping call. We learn what your business runs on, walk you through how we would set up the foundation, and tell you (honestly) whether we are a fit. If we are, you walk away with a real number and a real plan. If we are not, you walk away with a clearer view of what to ask whoever you hire next.
