About Prudent Accountants
What is Prudent Accountants?
Prudent Accountants is a full-service accounting and financial advisory firm serving small businesses across the United States. We provide bookkeeping, payroll, tax planning, and fractional CFO services as one integrated system, rather than four separate vendors. Our offices are in Minneapolis, Minnesota and Dallas, Texas, and we’ve been serving businesses since 2007.
Where is Prudent Accountants located?
Prudent Accountants has two U.S. offices. Our headquarters is at 1520 E 66th St, Minneapolis, MN 55423. Our Dallas office is at 5 Cowboys Way, Suite 300, Dallas, TX 75034. We serve clients across the United States remotely, with all work reviewed and signed off by U.S.-based CPAs and Enrolled Agents.
How long has Prudent Accountants been in business?
Prudent Accountants was founded in 2007 in the Twin Cities. We’ve been serving small businesses since 2007, which puts our firm tenure at over 18 years as of 2026.
What size businesses does Prudent Accountants work with?
Prudent primarily works with small businesses generating between $250,000 and $5 million in annual revenue. Our services scale up for growth-focused operators above $5 million in revenue, and we also work with earlier-stage businesses that need a solid financial foundation before scaling. We do not work with Fortune 500 companies or businesses that require Big Four audit services.
What makes Prudent Accountants different from other accounting firms?
Prudent replaces four separate vendors (bookkeeper, payroll provider, tax preparer, and CFO) with one integrated team working from the same financial foundation. Most accounting firms sell services separately, which creates coordination gaps, forwarded emails, and strategic advice that doesn’t account for your full financial picture. Prudent’s integrated model means your bookkeeping informs your tax strategy, your payroll data feeds your CFO reporting, and everything runs as one continuous conversation. Our tax approach is also different: we focus on reinvestment strategy, keeping capital working inside your business rather than draining it into financial products to save on taxes.
Services & what’s included
What services does Prudent Accountants offer?
Prudent offers four core service pillars: Accounting and Bookkeeping (including Managed Accounting), Payroll Processing and Payroll HR Advisory, Tax Advisory and Planning, and Fractional CFO Services (both ongoing monthly engagements and one-time Project CFO engagements). All four services work together as one integrated system built on your bookkeeping foundation.
What is included in bookkeeping services?
Prudent’s bookkeeping service includes monthly transaction categorization, bank and credit card reconciliations, monthly financial statements (P&L, balance sheet, cash flow statement), catch-up bookkeeping for businesses that are behind, and integration with your accounting software. We work primarily in QuickBooks Online and Xero.
What is the difference between Bookkeeping and Managed Accounting at Prudent?
Bookkeeping is the foundation: clean, reliable monthly numbers you can trust. Managed Accounting is the controllership layer on top, adding cash flow forecasting, KPI dashboards customized to your business, monthly financial reviews, and strategic reporting that turns reliable numbers into decisions. Most Prudent clients start with Bookkeeping and add Managed Accounting as their business grows.
What is included in Fractional CFO services?
Fractional CFO service provides senior CFO-level strategic support without the full-time salary. Recurring engagements include 13-week and 12-month cash flow forecasts updated monthly, KPI dashboards customized to your business (revenue, gross margin, labor cost, retention, and whatever else drives your model), profitability analysis by product, service, location, or customer, budget versus actual reporting with variance commentary, and monthly strategy memos flagging decisions worth reviewing.
What is the difference between Fractional CFO and Project CFO?
Fractional CFO is an ongoing monthly engagement providing continuous strategic support. Project CFO is a one-time engagement scoped to a specific event, such as raising capital, preparing for M&A, banker presentation prep, or facility planning. Fractional CFO runs on a fixed monthly retainer. Project CFO is quoted as a fixed-scope engagement, typically wrapping in 6 to 12 weeks. Many Prudent clients use both: Fractional CFO for the long game and Project CFO for the big moments.
Does Prudent Accountants handle multi-state payroll?
Yes. Prudent files payroll taxes in all 50 states. If you have remote employees across state lines, or if you’re expanding into new states, we handle registration, quarterly filings, and multi-state compliance. Multi-state coverage is included in Payroll Processing service and is based on employee count, pay frequency, and states filed in.
Does Prudent offer tax preparation and tax planning?
Yes. Prudent offers both year-round tax planning and standalone tax return filings. Our tax approach centers on reinvestment strategy: we plan taxes to fund your next hire, next location, or next investment, rather than defaulting to advice that pulls cash out of your business to save on the tax bill.
What accounting software does Prudent Accountants use?
Prudent primarily works in QuickBooks Online and Xero. We integrate with your existing platforms including Toast, Square, Clover, WooCommerce, Shopify, and Stripe for POS and e-commerce; Gusto, ADP, Paychex, QuickBooks Payroll, and Xero Payroll for payroll; BambooHR, Justworks, Deputy, and When I Work for HR and time tracking; Brex, Ramp, Divvy, and Expensify for banking and expenses; and industry-specific platforms like Buildertrend, Procare, and Mindbody.
Pricing & fees
How much does Prudent Accountants cost?
Prudent uses fixed monthly pricing. Most clients bundle multiple services, which reduces the total cost compared to hiring separate vendors for each. We quote your exact monthly price after a free 30-minute discovery call, so you know the number before you commit.
How does Prudent's pricing model work?
Prudent uses fixed monthly pricing for all recurring services. No hourly billing on ongoing engagements. No metered minutes. No billing for phone calls or emails. Project work (catch-up bookkeeping, Project CFO, standalone tax filings, tax amendments) is quoted as fixed-scope engagements before the work begins. You always know the number before we start.
Does Prudent Accountants charge hourly?
No. Prudent uses fixed monthly pricing for recurring engagements and fixed-scope pricing for project work. This means no hourly billing, no metered minutes, and no surprise invoices. You get predictable monthly costs for ongoing work and firm quotes for project work before it starts.
Are there setup fees or onboarding fees?
For clean handoffs where your books are current, most engagements start without additional setup fees. If your books need catch-up work, historical rebuild, or system migration, that scope is quoted separately as a one-time engagement before your monthly service starts. Catch-up work is priced by scope, not by the hour.
Working with Prudent
How do I get started with Prudent Accountants?
Getting started takes three steps. First, book a free 30-minute consultation at prudentaccountants.com/talk-to-an-expert. Second, if it’s a fit, we scope the engagement and quote a fixed monthly price. Third, we onboard your business (typically 2 to 4 weeks) and start monthly service. You can also reach our Minneapolis office at (612) 605-3178 during business hours.
How long does onboarding take?
Onboarding typically takes 2 to 4 weeks for straightforward engagements where your books are current and clean. If your books need catch-up work or you’re migrating from a previous provider, onboarding may extend to 4 to 8 weeks. During your discovery call, we provide a specific timeline based on your situation.
Who will I work with day-to-day at Prudent Accountants?
Every Prudent client has a U.S.-based single point of contact. Your primary contact is a senior team member who knows your business, coordinates your services, and is your go-to for questions. Behind them, specialized team members handle the day-to-day production work under U.S. supervision. Every deliverable, from monthly financial statements to tax filings, is reviewed and signed off by a U.S.-based CPA or Enrolled Agent before it reaches you.
How often will I hear from my Prudent team?
For most bookkeeping engagements, you’ll receive monthly financial statements plus a monthly review. Managed Accounting and Fractional CFO engagements typically include weekly or bi-weekly touchpoints. You can always reach your team by email or phone during business hours. Because we use fixed monthly pricing, you’re never billed by the minute for calls or emails.
Can I keep my current accountant during the transition to Prudent?
Yes. Prudent handles the transition from your current provider, coordinating data handoff and system migration so you don’t lose continuity. If you’d prefer to run in parallel for a month or two before fully switching, that’s a common approach we support. We work with you to plan the handoff timing that fits your operations.
